Awarded Contracts: Post-Award Setup, Contact Assignments, and Notifications

Purpose: This guide walks Contract Holders through post-award administrative workflows inside Symphony, including downloading and uploading signed award documents, assigning required Contract Points of Contact (POCs), and setting up validated corporate notification listservs.

1. Sign and Upload Award Documents

2. Assign Contract Points of Contact (POCs)

3. Configure Notification Emails (Distribution Listserv)

4. Vehicle-Specific Administrative Tasks

Before You Start

  • Applicability: This guide applies only to contract vehicles managed directly within the Symphony portal (e.g., ASTRO, DHA).

  • Other Contract Vehicles: Contracts managed under separate federal portals—such as Multiple Award Schedule (MAS/FSS) or GSA OASIS+ post-award orders—utilize external tools (e.g., GSA eBuy, eMod, FedConnect) and are not managed within Symphony.

  • Access Location: All post-award administrative tasks are completed under My Company → Contracts.

  • Prerequisites: Users assigned to management roles must be registered Symphony account holders under your company's Unique Entity ID (UEI).

Steps

1. Sign and Upload Award Documents

Upon receiving an award notification, complete the digital onboarding process:

  1. Navigate to My Company and select the Contracts tab.

  2. Click the Contract Number link to view your awarded contract record.

  3. Download the award document package.

  4. Execute and sign the document outside of Symphony.

  5. Upload the signed document back into the Symphony portal to complete the task.

2. Assign Contract Points of Contact (POCs)

Assign specific administrative roles to manage portal operations and task orders:

  1. Select your contract number link on the Contracts tab.

  2. Select the Points of Contact tab.

  3. Assign active registered users to the Contract Manager (CM) and Program Manager (PM) roles using the dropdown menus.

  4. Click Update to save your assignments.

System Authority Limit: Symphony permits only one assigned individual for the Program Manager role and one assigned individual for the Contract Manager role per contract record. These designations grant explicit portal permissions and signature authority.

3. Configure Notification Emails (Distribution Listserv)

Symphony sends automated alerts for RFPs, RFIs, task orders, amendments, and award dispatches to a single contract-level email address.

  1. Go to the Points of Contact tab under your contract record.

  2. Enter your corporate Distribution Email address and press Update.

  3. The Validation Handshake: Symphony automatically dispatches a verification code to the target email inbox.

  4. Retrieve the code from your inbox, enter it into the Symphony prompt, and confirm to activate routing.

Best Practice — Manage Membership Internally: Do not enter an individual employee's personal email address. Use a shared group listserv (e.g., contracts@company.com) managed internally by your IT department to ensure critical contract dispatches are never missed during staff turnover.

Important Callout for Team Members: Symphony routes notifications only to the configured distribution listserv address, not to individual user accounts.

If you are not receiving expected order or solicitation alerts, verify directly with your internal IT administrator or listserv manager that your individual email address is actively enrolled in the distribution group. We strongly recommend periodically testing or verifying your listserv membership internally.

4. Vehicle-Specific Administrative Tasks

Vehicle-specific tasks—such as initiating formal contract modifications or submitting Contractor Self Assessments (CSA)—are subject to program-level rules:

An account Administrator must activate them under Administration → User Management before they appear in POC dropdowns.

Validation email code not received.External security filter or firewall block.Confirm with your IT department that the listserv receives external inbound dispatches. Try updating the address in Symphony to force a fresh validation code dispatch. The email sender is noreply@gsa.gov (ASTRO) or symphony@apexlogic.com (DOD/DHA).

Missing RFP or Order notifications.
Distribution email is unvalidated, listserv is unmonitored, or spam filter block.Verify that the distribution email is correct and that the listserv actively routes dispatches to monitored inboxes.
